Why a local PCO

The committee changes. The operating knowledge shouldn't.

A congress is a slow machine. Bidding, abstracts, accreditation, registration, sponsorship, then four days where everything happens at once — often eighteen months apart, with a different chair each time. Most of what goes wrong in edition three is something edition two already learned and then forgot when the committee rotated.

We hold that knowledge instead: which session room has the difficult acoustics, which hotel releases its block late, how long the shuttle actually takes at eight in the morning rather than on the map. Your scientific committee keeps its attention on the science, and the operational file carries forward.

  • Abstract, review and scoring workflow run end to end
  • Registration, badging and delegate categories matched to your membership
  • Sponsor prospectus, booth allocation and fulfilment tracking
  • Documented handover to each incoming committee

What a congress actually needs

Contracted and delivered through one desk in Marrakech.

01

Abstracts and scientific programme

Submission intake, blind allocation to reviewers, scoring, acceptance notices and the final programme export. Reviewers are chased by the system on a schedule, not by your secretary at midnight.

02

Registration and badging

Delegate categories that reflect how your membership is actually structured — member, non-member, trainee, accompanying, day rate — with on-site badge printing and a desk that clears an arrival queue.

03

Sponsor and exhibitor programme

A prospectus with tiers that sell, floor plans that make the good stands obvious, and a fulfilment checklist so nothing promised in March is forgotten in November.

04

Accreditation support

Learning objectives, faculty declarations, attendance capture and certificate issue, assembled as the file the accrediting body expects.

05

Delegate logistics

RAK arrivals, multi-hotel allocation, shuttle loops timed to the session grid, hospitality desks and rooming lists.

06

On-site delivery

Session stewards, technical liaison, speaker preview, signage and a coordinator who knows which room has the temperamental microphone.

07

Social programme

Welcome reception, gala dinner and accompanying-persons tours — in riads, Palmeraie estates or an Agafay camp, contracted directly.

08

Bid support

Destination case, venue holds, costed budgets and letters of support when you are still competing for the congress.

The multi-year arc

A congress runs on a longer clock than a meeting

Planned in stages against fixed academic and commercial deadlines. This is the arc we work back from.

18–24 months out

Bid & venue selection

Destination bid documents, venue capacity letters and budget modelling for the board or general assembly vote.

12 months out

Registration opens

Platform live with early-bird tiers and the delegate category structure locked to your membership.

9 months out

Abstract submission window

Submission opens and blind peer review runs against your scientific committee's own timeline and scoring rubric.

6 months out

Sponsor & exhibitor sales

Prospectus in market, booth allocation begins, and fulfilment obligations tracked against each signed contract.

2 months out

Final programme & badging

Abstract book compiled, accreditation documentation submitted, badges and access control finalised.

Congress week

On-site delivery

Registration desk, session-room management and real-time problem-solving across every day of the congress.

4–6 weeks after

Reconciliation & reporting

Financial reconciliation, sponsor fulfilment report, and the delegate survey your committee needs for the next bid.

3 months after

Handover to the next edition

Lessons-learned review and a written knowledge file, so the incoming committee starts from this congress rather than from nothing.

Why Marrakech for congresses

A congress city that doesn't feel like one.

Marrakech Menara takes direct flights from most European hubs in under four hours, which keeps delegate travel time — and the travel budget line — low for a European or North African association. The congress centre and the Hivernage hotel cluster sit within walking distance of each other, so parallel sessions do not depend on coaches.

The argument that wins a vote, though, is usually the social programme. A gala in a Palmeraie estate or under canvas in Agafay is something a delegate remembers and tells a colleague about, and attendance at the next edition is partly built on that.

Questions

What committees ask first

Anything not covered here, ask the ops desk directly on WhatsApp.

Do you supply the abstract submission platform, or do we bring our own?

Either. If your society already licences a submission system we work inside it and take on the administration. If you do not have one, we set up and run the submission, blind-review and scoring workflow, then hand you a clean export for the programme book at the end.

Can you support CME or CPD accreditation for the scientific programme?

Yes. We assemble the documentation the accrediting body asks for — session-level learning objectives, faculty declarations, attendance capture and post-event certificates — and keep the evidence trail intact. We prepare the file; the accreditation decision stays with the awarding body.

Our organising committee changes every edition. How is continuity kept?

The institutional memory sits with us rather than with a rotating committee. Supplier contacts, floor plans, rooming patterns, what ran late last time and why — all of it is documented and handed to the incoming chair, so each edition starts from the last one rather than from a blank page.

Can you help us bid for a congress before Morocco is confirmed as the host?

Yes, and this is worth starting early. We prepare the destination case: venue holds, hotel capacity by star band, indicative costed budgets, letters of support and airlift evidence. If the bid goes elsewhere you owe nothing for the bid work itself.

How many delegates can a Marrakech congress realistically take?

The Palais des Congrès handles plenary formats in the high hundreds, and Hivernage hotel venues cover parallel sessions from twenty upward. Above roughly two hundred residential delegates we move to multi-hotel allocation with shuttle loops timed to the session grid.

What does a PCO cost, and how is it quoted?

We quote a management fee against a defined scope, plus line-itemised ground costs at net rates. The two are separated on purpose, so your treasurer can see what is our fee and what is pass-through supplier cost, and so registration income can be modelled against it honestly.
